EvalSuite Google Workspace Import and Sync

Use this guide when you want to seed or refresh your EvalSuite org chart from Google Workspace without rebuilding the team structure by hand.

Admin requirements

Org-admin role in EvalSuite

You need organization-admin access in EvalSuite to connect Google Workspace and run the import flow.

Google Workspace admin privileges

Use a Google Workspace admin account with Super Admin or the required Directory API read access for the target domain.

Read-only directory scopes

EvalSuite requests readonly Google Workspace directory scopes for users, groups, group members, and org units. It does not write changes back to Google Workspace.

Before you start

Google Workspace import is available from `Organization -> Import` and the dedicated `/organization/import` route.

The import flow keeps current connection health visible before you sync so you can see whether the current Google admin session is still usable.

  • Visible connection states include `Connected`, `Reconnect needed`, `Needs attention`, and `Not connected`.
  • The domain field is usually prefilled from the current account, but you can change it if the admin account manages another domain.
  • Google Workspace import can be disabled for a workspace. When that happens, the connect and sync affordances remain visible but unavailable.

Connect the Google Workspace admin account

Use this when the current EvalSuite admin session has not yet granted the required Google Workspace directory scopes.

  1. Open `Organization -> Import` in EvalSuite.
  2. Review or update the `Google Workspace domain` field.
  3. Click `Connect Google Workspace`.
  4. Approve the Google OAuth request for the readonly directory scopes.
  5. Return to EvalSuite and confirm the connection state changes to `Connected`.

Run the workspace sync

Use this when you want to import or refresh people, reporting lines, groups, and org units from Google Workspace into EvalSuite.

  • Users are matched by email and updated when they already exist in the current EvalSuite org.
  • New people are added into EvalSuite and manager links are resolved in the same pass when the manager exists in the imported org set.
  • Google Groups are fetched for follow-up team setup, but they are not stored as EvalSuite's long-lived source of truth.
  1. Open `Organization -> Import` in EvalSuite with a connected admin session.
  2. Click `Sync Workspace`.
  3. Wait for the import result summary showing imported users, groups, and org units.
  4. Review the resulting org chart and use the follow-up team setup path if you want to turn importable groups into reporting lines.

Reconnect or disconnect the current admin session

Use `Reconnect account` when the existing session has expired or needs a fresh OAuth grant. Use `Disconnect` when you want EvalSuite to revoke the current Google Workspace admin session grant.

  • Because the current implementation does not permanently store Workspace tokens, disconnecting revokes the current admin-session grant rather than cleaning up a long-lived shared token.
  • If you disconnect, the next sync requires a fresh Google OAuth connection first.
  1. Open `Organization -> Import` in EvalSuite.
  2. Use `Reconnect account` if the state shows `Reconnect needed` or you want to refresh consent.
  3. Use `Disconnect` if you want to revoke the current admin-session grant from EvalSuite.

Current limitations to understand

The Google Workspace import flow is intentionally read-only and conservative.

  • Sync is one-way from Google Workspace into EvalSuite; changes made in EvalSuite are not pushed back to Google Workspace.
  • Email is the primary match key. Changing a user email in Google Workspace can require follow-up cleanup if it creates a duplicate in EvalSuite.
  • When an email already belongs to another EvalSuite organization, the sync skips that person and returns a warning instead of importing them into the wrong tenant.
